General Competition Rules
  1. Overview

    1. In addition to these rules, participants must also abide by the additional rules of the individual events in which they participate.

    2. All competitions are conducted in accordance with the "General Competition Rules" and additional rules specified in individual events. If there is a conflict between the rules of individual events and the contents of these rules, the rules of the individual event regulations shall prevail, and the tournament has the final right to interpret the rules of each event.

    3. Once all competition registrations are submitted, it means that the participants clearly understand and agree to the contents of all competition regulations and will strictly abide by them.

    4. All updates to rules, project content, requirements, and event-related announcements will be posted on the website without prior notice.

    5. All competition-related content and announcements published on the website are part of the competition rules.

    6. In order to avoid administrative confusion or errors, contestants are responsible for ensuring that the information submitted is complete, true, and complies with the requirements of the competition rules.

    7. The competition is not responsible for checking whether contestants' registration information meets the qualifications.

    8. Anyone who does not meet the qualifications, fails to comply with the competition requirements or violates the rules, whether before or after the competition, may be disqualified without further notice, and no fees will be refunded

  2. Registration

    1. The name filled in by the contestant must be the same as the identity document. The Chinese and English names filled in will be used for the certificate or trophy. If the certificate or trophy needs to be modified after it is issued, the contestant will be responsible for the relevant administrative fees.

    2. Registration Date

      1. Each individual competition has its own deadline. Participants must complete the registration process before the deadline according to the requirements of the individual competition.

      2. Registration must be completed before 11:59 pm on the closing date.

      3. Any late application will not be accepted.

      4. Participants may be required to submit other information or documents for individual events. Please refer to the "Reference Date" of each individual event for the deadline for submission.

    3. If there is a quota limit for certain events, the quotas will be allocated on a first-come, first-served basis, and the order will be based on the date the contestants submit their registrations.

    4. All events require online registration. Please refer to individual competition webpages for registration procedures and details.
       

  3. Various fees for events

    1. For the various fees for each individual event, please refer to the regulations and rules of each individual event or the association's website.

    2. If the number of participants for certain events/categories is full or insufficient, the organizer has the right to reject the registration application or cancel the event in that category, and refund the paid registration fees to the participants.

    3. Once a contestant registers, regardless of any reason (except for the circumstances listed in item 3.2 of this rule), whether the contest is completed or not, all fees will not be refunded, and may not be transferred to others or used for other purposes.

    4. All registration forms with incomplete payment, incorrect information, untrue or incomplete forms, whether before or after the competition, will not be accepted or disqualified, and the paid fees will not be refunded.

    5. Participants must keep all payment proof documents properly until the end of the competition. The Association reserves the right to require participants to produce relevant payment proof documents at any time during the competition. If the participant fails to produce the relevant payment proof documents, the payment procedure will be considered incomplete.

    6. All registrations require participants to provide proof of payment of the registration fee to prove successful payment of the registration fee. If you lose your receipt etc. and fail to provide proof, we will not follow up for verification.
       

  4. Payment method

    1. All competitions only accept payment methods linked to the webpage, and other payment methods will not be accepted and processed.
  5. Participant information and changes

    1. All registration information must be carefully checked for accuracy before submission.

    2. Participants can modify their personal information before the competition deadline.

    3. When the registration period for the event closes and the personal information of the contestants has been stored in the event system, any modifications to the personal information of the contestants on the webpage will not be included in the data processing of the event. For information modification after the registration deadline for all events, please contact the staff individually and relevant administrative fees will be charged.

    4. E-mail or Whatsapp is the main method of contact and notification for each event, so please clearly fill in the contact email and contact number (with Whatsapp function). The tournament will not be responsible for failure to issue event notifications correctly due to unclear information provided.

    5. All event notifications will be distributed via email and website.

    6. Please provide each contestant with an independent contact email address as much as possible to avoid multiple contestants sharing the same email address and avoid confusion when issuing event notifications or being mistakenly recognized as spam emails by the system.

  6. Award application and mailing

    1. Once the trophy and certificate are applied for, all fees are non-refundable regardless of any reason, and may not be transferred to others or used for other purposes.

    2. Applicants are required to properly keep all payment proof documents until the end of the event. The Association reserves the right to require applicants to produce relevant payment proof documents at any time before the award is sent. If the applicant fails to produce the relevant payment proof documents, the payment procedure will be considered incomplete.

    3. All contestants who submit any postal information must ensure that all information is correct.

    4. Competitors/applicants/recipients will not be notified individually before all documents or awards are sent, so please make sure that the recipient's address and contact number can be used to receive and communicate with the recipient at any time. Participants can check the mailing status and mail tracking number on the website.

    5. All prizes (including local and overseas) may not be successfully sent, received, lost, etc., regardless of any circumstances (including but not limited to incorrect mailing information, failure to receive, failure to sign for receipt, missed delivery date) , no reissue will be arranged. If the mail is returned to the competition and the applicant wants to arrange for re-mailing, the relevant postage will be borne by the applicant.

    6. For all returned trophies/certificates that have not been collected six months from the date of award application, the application will be deemed to have completed the mailing process. Returned trophies/certificates will be handled at the sole discretion of the tournament without prior notice to anyone. No objection is allowed and fees paid will not be refunded.

    7. Local mailings will all be sent by SF Express.

    8. If the application is sent to a non-local mailing address, the applicant will need to pay additional postage charges. The default delivery method is "Hong Kong Post" surface registered mail. The relevant charges and delivery time can be calculated by referring to the "Hong Kong Post" website. ​

    9. The mailing method will be arranged by the tournament.

  7. Contest Rules

    1. The tournament reserves the right to modify the announced competition regulations, projects, arrangements or other information. Any changes to the contents will be announced on the tournament website. All information is subject to the latest announcement online.

    2. The competition date, time and location of all events are solely the responsibility of the Association and participants shall not object.

    3. The tournament reserves the right to cancel any events and activities based on circumstances. Relevant contestants will be notified of the cancellation of events and activities.

    4. The tournament reserves the right to adjust or modify any relevant competition arrangements when necessary.

    5. All contestants must abide by the rules set by the tournament. If there is any violation, the tournament reserves the right to disqualify any contestant.

    6. The decision made by the competition committee and judges is final and no one may object.

    7. The tournament reserves the right to change any event rules and terms, prizes, competitions and judging arrangements without prior notification.
       

  8. Submit your entry

    If submission of works is required for the competition, the following rules will be attached:

    1. Personal information (including name and school name) should not appear anywhere in the work.

    2. The tournament reserves the right to adjust, modify or cancel any relevant competition arrangements when necessary.

    3. The entries must be original and have not been published, published or participated in similar competitions in any way or channel.

    4. All entries must not be published before the results are announced. Once discovered, their qualifications will be disqualified.

    5. The copyright of all entries will be authorized by the organizer for use, including but not limited to display, printing, publication, broadcast or sale without prior notification.

    6. If any entries are damaged, the Association will not make any compensation, and the registration fee paid will not be refunded.

    7.  Multiple submissions will not be accepted.

    8. Works obtained by infringing the rights of others, including but not limited to copyright/copyright, portrait rights without consent for use in accordance with the laws of the relevant country/jurisdiction. The competition reserves the right to require contestants to provide legal proof related to their works, such as a disclaimer signed by relevant persons. Note: Disclaimer documents vary according to judicial procedures in different jurisdictions/regions. Participants are responsible for providing legally binding disclaimer documents regarding the materials used in their works.

    9. Property Rights / Intellectual Property
            By submitting an entry form or agreement containing the terms and conditions listed, entrants agree to waive all rights and interests in their work and all intellectual property rights contained therein (the "Work"), and Further agree to transfer the works to the organizer and such works will become the property of the organizer. No such work or any part thereof will be returned to the entrant. The organizer reserves the right to exercise its absolute discretion in disposing of the works at any time, including whether the works should be returned to the entrants at their special request and to impose any conditions in this regard, provided that if the organizer uses its discretion to return the works To the entrant, the entrant must accept the work "as is" and any additional conditions. Under any circumstances, the organizer shall not be held responsible for any damage or change in condition of the works.

  9. Awards and Ratings

    1. The scoring criteria are arranged individually according to different competitions. For details, please refer to the rules of each individual competition.

    2. The allocation and quota of prizes or rankings for each competition will be announced in the individual competition rules.

    3. If the event has championship, runner-up, and third-place rankings, the number requirements and arrangements for the participating groups are as follows:

      1. If there are less than five people in the event, there will only be one champion for the event.

      2. If there are less than three people in the project, there will be no championship, runner-up, or quarter awards for the project, but relevant certificates can still be obtained based on the points obtained.

    4. Tutor/Organization Awards:

      1. Tutor/Organization who recommend twenty or more participants to register for a single event can receive the "Outstanding Mentoring Award".

      2. Participants recommended by institutions/tutors who have won a total of five or more Gold, Second Runner Up, First Runner Up, and Winner in a single competition are eligible for the "Excellence Education Award".

      3. The award certificate can be viewed in the Student Record > Tutor Awards.

    5. If the judges believe that the contestants in this group are not up to the winning level, the judges have the right to change the award arrangements for this group.

    6.  The judges and the organizer have the right to make corresponding award arrangements and group changes based on the number of participants and the level of participants in each group without prior notice.

    7. The event judges or referees have the final say on the outcome of the event, and no one may object.

  10. Other notes

    The personal images, family photos, works or award-winning information of each contestant may be uploaded to the website or promotional materials of the organizer and its affiliates for publicity purposes. The organizer and its affiliates are not required to provide information to the contestants. give further notice and pay any fees.

  11. Personal information

    1. Participants should provide personal information to the competition for this competition so that the competition, the organizer, the undertaking organization and the supporting media can effectively organize the event.

    2. This competition uses email as the main contact method. Please ensure that the email address submitted is correct and can receive notification emails.

    3. Each entrant shall ensure that all personal information provided to participate in this competition is accurate.

    4. Each participant confirms that he/she agrees to allow the competition, the organizer and the undertaking organization to use his or her personal information for the purpose of organizing this competition. Please refer to the Personal Data Collection Statement in these Terms and Conditions for details.

    5. The tournament, the organizer and its supporting media may disclose the personal information submitted by the contestants based on legal requirements, court orders, or in response to legitimate requests from government departments or law enforcement agencies, or the organizer in its sole discretion believes that such disclosure is necessary to protect the organizer. The rights or property of the unit are necessary.
       

  12. Personal Data Collection Statement

    The personal data and other information you provide for this event (collectively, the "Information") will be collected, used and retained by E-competition.hk in accordance with the Personal Data Privacy Ordinance for the purpose of verifying the identity of the contestants, facilitating contact and Hand out prizes and hope the competition is fair. The above documents, together with the above terms and conditions, also stipulate how the information will be used and to whom it will be disclosed. Information (such as name, contact number, age group and email) may be disclosed to Shang Culture's affiliated or related companies and/or used or retained by such companies for marketing purposes. For inquiries or changes to personal data, or any inquiries regarding the use of data for promotional activities, please write to the Privacy Ordinance Officer (PO Box 9896, General Post Office, Hong Kong).
     

  13. Disclaimer

    1. To the maximum extent permitted by law, the tournament and the organizer expressly declare all warranties or representations regarding the prizes (including and not limited to merchantability and fitness for specific purposes involving the terms and conditions contained therein). and handling with care and skill. To the maximum extent permitted by law, the tournament and the organizer will not be responsible for any damage or loss caused by participating in this competition or using any prizes. At the same time, as mentioned above, the organizer will not be responsible for any damage caused by using its absolute discretion to return the works to the entrants.

    2. The competition and the organizer will not accept any claims, lawsuits or legal proceedings initiated by participants or other interested parties related to this competition or participation in this competition.

    3. The organizer reserves the right to change the content of the competition or cancel the competition without prior notice.

    4. If there is any conflict between the versions of all information on this website, including all competition regulations and rules, the Chinese version shall prevail.
